Tenax AI - Privacy Policy

Notice at Collection (California/US state laws). We collect identifiers (e.g., name, email), commercial information (subscription/usage), geolocation (addresses/coordinates you provide), internet/network activity (logs, device/browser), video/images you submit, and inferences/outputs (measurements, classifications, scores). We use this data to deliver and secure our Services, generate reports, support customers, comply with law, and to improve our products, conduct research, and validate/train our AI models using de‑identified or anonymized data. We do not sell personal information and do not share personal information for cross‑context behavioral advertising.

1. Who we are

Tenax AI, Inc. (“Tenax AI”, “we”, “us”), headquartered in Los Angeles, California, provides AI‑assisted property risk assessment tools and services. This Policy explains how we handle personal information for our websites, mobile data‑capture apps, homeowner/insurer web apps, APIs, and Tenax ai‑generated PDF reports (collectively, the “Services”).

2. Scope

This Policy applies to users in the United States and North America who access or use the Services.

3. What we collect

(a) Information you provide. Name, email, phone, organization/role; property addresses/coordinates; images/videos and embedded metadata; annotations, survey responses, and support tickets.
(b) Information we create. Classifications, segmentations, measurements (e.g., distances), risk scores, detailed analysis, recommendations, and report PDFs.
(c) Information collected automatically. Device/browser type, IP address, app identifiers, crash/telemetry logs, cookie/SDK data.
(d) Enterprise context. If your access is provisioned by an insurer or organization, we may receive your details from them.

4. Sources of information

Directly from you; from your organization; automatically from your device; and from service providers (e.g., authentication, analytics).

5. How we use information

We use information to: (i) provide, maintain, and secure the Services; (ii) generate assessments, dashboards, and reports; (iii) provide support and communicate changes; (iv) detect and prevent fraud or misuse; (v) comply with legal obligations; and (vi) improve our products, conduct research, and validate/train our AI models.
When we use information for product improvement, research, and model training, we apply technical measures designed to de-identify or anonymize the data (e.g., delinking submitted media from personal identifiers or specific property addresses) before training or research use.

6. Our role (controller/processor)

We act as a controller when you create an account directly with us. We act as processor/service provider when an enterprise customer (e.g., an insurer) is the controller and instructs us; our Data Processing Addendum (DPA) applies in that case.

7. Disclosures to third parties

We disclose personal information to: (a) service providers (hosting, storage, analytics, support, communications) under written contracts; (b) your insurer/organization with your explicit consent when they sponsor or request your assessment; (c) authorities where required by law; and (d) a successor entity in a merger or acquisition. We do not sell personal information and do not share personal information for cross‑context behavioral advertising.

8. Cookies & similar technologies

We use essential and analytics cookies/SDKs for authentication, load balancing, security, and usage analytics. Manage preferences via in‑product controls and browser settings. We honor supported Global Privacy Control (GPC) signals for opt‑out choices where applicable. See our Cookie Notice for details.

9. Data retention

We retain personal information for the life of the account/engagement and a reasonable period thereafter for security, audit, and legal requirements. We delete or anonymize upon verified requests unless retention is required by law or to establish/defend legal claims.

10. Security

We use industry‑standard safeguards, including encryption in transit/at rest, access controls, logging, and vulnerability management. No system is perfectly secure; please use strong passwords and keep credentials confidential.

11. Your privacy rights (US state laws)

Depending on your location (e.g., California, Colorado, Connecticut, Utah, Virginia), you may have rights to access, correct, delete, and export personal information, and to limit use of sensitive data. You may appeal a rights request decision. Submit requests via in‑product controls or contact@tenaxai.com. We will verify your identity and may accept requests from an authorized agent consistent with state law.

12. Children

The Services are for adults (18+). We do not knowingly collect or share personal information of consumers under 16. If you believe a minor provided information, contact us for deletion.

13. Automated outputs & human decisions

Our systems generate measurements, classifications, and risk scores from submitted media to support professional judgment. These outputs are not, by themselves, binding underwriting decisions.

14. Filming & safe capture

Recording is voluntary. Obtain permission to film on private property, comply with local laws, avoid capturing faces/license plates where possible, and keep a safe distance from hazards.

15. International transfers

We primarily process data in the United States. Where data is transferred internationally, we apply appropriate safeguards.

16. Changes

We will post updates and revise the effective date. For material changes, we will provide prominent notice.
